Stewarding Administrative Assistant Intern (Bristol)

Context:

The Stewarding Administrative Assistant will assist the Stewarding Team Office Administrator, who provides office-based support to volunteer stewards. The Stewarding Team Administrator also provides administrative and operational support to the wider stewarding team as they recruit, support, train, roster, deploy and operationally manage volunteer stewards at music festivals.

The successful candidate will play a fundamental role in supporting approximately 5000 volunteers as they attend music festivals with Oxfam throughout the summer.  This role is a job share to be shared with another Oxfam Stewarding Administrative Assistant.

Frequency: Up to 3 days per week including some weekends away at festivals, for 6 months.

Key responsibilities:

  • Assisting in the supporter care of approximately 5000 volunteer stewards, including answering telephone and email enquiries throughout the season
  • Overseeing the administration relating to compulsory steward training courses
  • Managing some of the steward admin including child forms and checking steward references
  • Some onsite administrative support at festivals, assisting with processing signing in sheets, accident/incident reporting, and steward welfare support - notably at Glastonbury Festival 2013
  • General administrative support for the stewarding team

Skills and competencies:

  • Very well organised and excellent time management
  • IT literate including a working knowledge of Microsoft Word and Excel
  • Strong administrative experience
  • Excellent interpersonal skills and organisational skills
  • Flexibility to adapt to changing priorities
  • Ability to work to tight deadlines
  • Able to work well independently, as well as part of a strong team
