Humanitarian Learning Event Support Intern

Context:

Every year Oxfam holds a 5 day learning event for its pool of 70 Humanitarian Support personnel.  The aim of the event is principally to get staff together to share experience and learning from over the year.   The content of the event is pulled together by staff in the department and the HSPs themselves.

 

The post holder will be responsible for supporting management of the content and flow of the event.  There will be a team of people responsible for participating in and supporting the event. However, the post holder will focus on supporting the Programme Manager in pulling the event together.

 

The event will require administration. Administration involving participants, the venue, procurement of supplies and office duties is the responsibility of the Humanitarian Department administration team. Other administration related to the duties of the Programme Manager involving session design and logistics, arrangements for event facilitators, speakers and guests, liaising with venue staff and ensuring the event flows smoothly will be supported by the post holder

Frequency: Up to 3  days for 10 weeks from 25th March to 31st May 2013

Postholder would need to attend full 5 day event 13th to17th May 2013

 

Key responsibilities:

Support management of the design and delivery of the annual Humanitarian Learning Forum by:
  • Providing administration and logistic support to the Programme Manager in managing the design and running of this annual event.
  • In conjunction with other department staff, assisting in coordinating sessions for the event.
  • Supporting Programme Manager in pulling joint events together.
  • Communicating event details to relevant staff and participants as necessary.
  • Assisting in organising event pack for attendees.
  • Acting as backstop for the Programme Manager in her absence.

  • Good administrative skills
  • Good attention to details
  • Ability to take initiative
  • Computer skills (Word/Excel)
  • Sensitivity to cultural differences, and the ability to work in a wide variety of cultural contexts
  • Ability to work in a team but also  be able to work alone
  • Some understanding and experience of gender equity issues
  • Good communication skills and good written and spoken English
  • Some knowledge of training programmes
